Privacy Policy

This policy explains what information Hospelo collects, why we use it, and the choices available to restaurants and their employees.

1. Who this policy covers

Hospelo provides restaurant scheduling, shift communication, callout coverage, and workforce insights. This policy applies to visitors to hospelo.com, restaurant customers, managers, employees, and people who communicate with Hospelo by text message.

Restaurants control much of the workforce information entered into Hospelo. If you are an employee, your restaurant may have its own privacy practices in addition to this policy.

2. Information we collect

  • Account and contact information: names, business email addresses, phone numbers, roles, restaurant names, and account credentials.
  • Scheduling information: availability, time-off requests, assigned shifts, positions, hour targets, shift pickups, callouts, and manager approvals.
  • Communications: text-message content, delivery status, opt-in or opt-out status, support requests, and other messages sent through Hospelo.
  • Restaurant settings: staffing rules, scheduling preferences, callout policies, approval settings, and related operational information.
  • Website and service information: browser, device, usage, security, and diagnostic information needed to operate and protect the service.
  • Sales information: information submitted through our demo-request form, including restaurant size and scheduling challenges.

3. How we use information

We use information to provide and secure Hospelo, generate and communicate schedules, coordinate shift coverage, process requests, send operational notifications, support customers, improve the service, prevent abuse, comply with law, and respond to inquiries.

Hospelo may use automated systems to interpret scheduling-related messages and recommend actions. Restaurants choose their rules and approval settings, and managers remain responsible for reviewing important staffing decisions.

4. Text messaging and consent

Hospelo sends operational messages only to phone numbers enrolled for the applicable restaurant messaging program. Messages may include published schedules, schedule changes, open-shift offers, callout coverage, time-off updates, manager alerts, and optional hours check-ins.

We do not sell or rent text-messaging consent information.

All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for assistance. Opting out of text messages does not prevent an employee from using other available scheduling channels.

5. When information is shared

We may share information with the restaurant associated with an account, vendors that help us provide hosting, authentication, email, text messaging, analytics, and customer support, and professional advisers or authorities when required for safety, legal compliance, or protection of rights.

Service providers may use information only to perform services for Hospelo under appropriate obligations. We do not sell personal information.

6. Data retention and security

We retain information for as long as reasonably needed to provide the service, maintain accurate operational records, resolve disputes, meet legal obligations, and protect Hospelo and its users. Retention periods may differ by information type and restaurant instructions.

We use administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee complete security, so users should protect their credentials and promptly report suspected misuse.

7. Your choices

You may request access, correction, or deletion of certain personal information by contacting your restaurant or Hospelo. Some information may need to be retained for security, legal, or legitimate operational purposes. You can opt out of Hospelo text messages at any time by replying STOP.

8. Children’s privacy

Hospelo is a business service and is not directed to children. Restaurants that employ eligible minors remain responsible for complying with applicable employment and consent requirements.

9. Changes to this policy

We may update this policy as Hospelo develops. We will post the revised version here and update its effective date. Material changes may also be communicated through the service or by email.
